JCITPROVIDER ("JCITPROVIDER," "we," "us," or "our"), operating under the brand PatientCatch, provides an AI-based phone answering and appointment-scheduling service for medical practices ("Service"). This Privacy Policy explains how we collect, use, and protect information in connection with the Service.
1. Who this policy covers
This policy applies to two groups of people:
- Practices we work with — clinics and medical offices that contract with JCITPROVIDER to use PatientCatch.
- Patients and callers — individuals who call a phone line answered by PatientCatch on behalf of a practice.
2. Information we collect
When a patient calls a phone line served by PatientCatch, we may collect:
- Name
- Callback phone number
- Date of birth (used to verify identity before booking, changing, or cancelling an appointment)
- Reason for the visit, as described by the caller
- Appointment date, time, and related scheduling details
- A recording and/or transcript of the call, for quality and accuracy purposes
When a practice signs up to use PatientCatch, we may also collect business contact details, such as the practice's name, address, phone number, and staff contact information.
3. How we use this information
- To answer calls, schedule, reschedule, and cancel appointments on behalf of the practice
- To verify a caller's identity before making any change to an appointment
- To route urgent calls appropriately
- To maintain accurate records for the practice we serve
- To improve the accuracy and reliability of the Service
We do not sell patient or caller information, and we do not use it for advertising.
4. How information is shared
Information collected through a call is shared with the specific medical practice that the caller contacted — it is their patient's information, and PatientCatch acts on the practice's behalf. We also work with technology providers (such as telephony, workflow automation, and calendar providers) strictly to operate the Service. These providers only process data as needed to deliver the Service.
5. Text messages
If you provide a mobile number, you may receive SMS messages related to your appointment, such as confirmations or reminders. We do not include sensitive health details in SMS content. Message and data rates may apply. Reply STOP to opt out of text messages at any time, or contact us using the information below.
6. Data security
We take reasonable technical and organizational measures to protect information collected through the Service. No method of transmission or storage is completely secure, and we continually work to improve our safeguards as the Service grows.
7. Data retention
We retain call and appointment information for as long as needed to provide the Service to the practice, and as required by the practice's own recordkeeping obligations.
8. Your choices
If you are a patient and have questions about information collected during a call, you can contact the medical practice you called directly, or reach us using the contact information below.
9. Children's privacy
The Service is intended to support adult callers scheduling care, including on behalf of minors. We do not knowingly collect information directly from children for the children's own independent use of the Service.
10. Changes to this policy
We may update this Privacy Policy from time to time. The "Last updated" date above reflects the most recent revision.
